Common Prompts in HR Reporting Dashboards

These fields are found in the prompts on several dashboards in the Workforce Planning (HR) subject area including:

Parent Org Node Code

Parent Org Node Code extracts information for the selected Org as well as any Org levels below it. For example, if you choose an Org node for a College of School, all of its departments and other "child" nodes will also be included in the results.

Employee Status – Desc

Employee Status is based on effective date.

In the Workforce Detail Dashboard, the statuses Active, Paid Leave of Absence, Unpaid Leave of Absence, and Short Work Break are populated. In the Legacy Workforce Detail Dashboard, the statuses Active, Paid Leave of Absence, and Unpaid Leave of Absence are populated.

Employee Class – Desc

Employee Class is the type of job the employee holds, split into categories of Staff, Academic, or Student. This field drives eligibility and other processes. Note: Employee Class is populated only for active non-vacant positions. If you prompt on Employee Class, you will not see inactive nor vacant results.

Salary Plan – Desc

Salary Plan is an organizational classification into which jobs of the same or similar value are grouped for compensation purposes. There are three: Salary Admin Plan, Salary Grade, and Salary Step, of which Salary Admin Plan is the highest level, such as CTBK (UCPath) or MSP/PSS (legacy).

Values may differ at the position v. job levels. Cal Answers pulls the position value if the job value is not available, otherwise, the job value is pulled.

Paygroup – Desc

A paygroup determines the manner in which the pay for a person is calculated. Most paygroups specify whether the employee is paid on a biweekly or monthly basis and the business unit, but there are paygroups for each of the represented bargaining units, for various categories of non-resident aliens, and special paygroups like "WOS" for "Without Salary". Each employee must belong to a paygroup in UCPath. The paygroup defines Fair Labor Standards Act (FLSA) rate calculations related to overtime, and the pay cycle an employee is paid on.

Reports to Position Number

The supervisor's position number. Note: For positions with multiple supervisors, meaning multiple supervisors associated with the Reports to Position Number, the dashboard picks one at random.

Union Code – Desc

Union Code is a code representing a campus bargaining unit. Examples include: 99 (Non-represented), CX (Clerical Unit), RX (Staff Research Profession Unit), SX (Service Unit).

Note 1: In the Career Status Eligibility report in the Hours Towards Eligibility dashboard, Union Code is relevant for career status because non-union employees with Union Code = 99 are supposed to convert automatically from limited to career status. Union employees are supposed to be converted manually from limited to career status.

Note 2: In the Full Benefits Eligibility report in the Hours Towards Eligibility dashboard, Union Code is relevant for full benefits because Unit 18 lecturers with Union Code = IX are eligible to attain full benefits with 750 All Jobs HBE Adjusted Hours instead of 1000 hours.

CTO Code – Desc

The Class Title Outline (CTO) code or Occupational Subgroup Code (OSC) associated with the job described by a row of data. This is particularly relevant for academic personnel. In Workforce Summary reports, this is the CTO code or OSC on which a row's data is summarized.

Job Family Code – Desc

A group of jobs in the same general occupation

Job Function Code – Desc

A more specific area within a job family

Job Category – Desc

A descriptive aspect of the job that indicates if it is Executive v Professional v etc.

Job Level – Desc

The seniority level of the job. For example, for Professional, it goes from P1 through P5.

Job Code

Job Code is a code and/or name for the job at the job level.

Values may differ at the position v. job levels. This is more common in the legacy business process where job can be maintained separately from position, and less common in the UCPath business process where job is tied to position.
