Common Prompts in Financial Dashboards

These fields are found in the prompts on several dashboards in the Financial subject areas including:

  • General Ledger Reporting

FieldDescription
Fiscal Yr Defaults to current fiscal year
Accounting Period Defaults to current period. In some dashboards, Accounting Period is for a single month; in others, it is cumulative up to the month selected
Business Unit Default is 1 - UC Berkeley. The other choice is J - UC Office of the President
Account Tree

The account codes are the same across trees, but the rollup to higher levels, such as Compensation Expense or Non-Compensation Expense, may differ between trees.

  • Default is BFS_ACCOUNT, which uses Accounting signage, in which Incoming funds and balances > 0 are presented as negative values.
  • CGA_ACCOUNT (Contracts and Grants Administration) tree has more detail of staff salary accounts and non-compensation expenses. Also helpful when you need to track direct vs. indirect costs at the account category level. Uses Accounting signage, in which incoming funds and balances > 0 are presented as negative values.
  • CalPlanning_ACCOUNT aligns with the account structure in CalPlanning; it uses Financial Statement signage, in which Incoming funds and balances > 0 are presented as positive values. In contrast to the other account trees, 5380X Fee Remission rolls up to Non-Compensation Expenses and 57310 General and Employee Liability (GAEL) rolls up to Compensation Expenses.
Account

You can filter by account group, account category, account subcategory or the specific account line item. The prompts go from general to specific. For example, if you select Non Compensation Expenses as the account group, only non compensation expenses show up in the account category.

Fund You can select high level Fund Type or Fund Group and you can select a specific Fund. There is a checkbox to Exclude Inactive Funds. The next chapter, Selecting Prompts, describes how to quickly filter when you want to find a specific fund.
Org Select Org Level 3 (Division) to limit the number of rows returned. Additional prompts below this allow you to be more specific, all the way down to Dept ID. When you select an Org Level 3, the list in Org Level 4 is filtered to include only those Departments that are in the selected Division.
