Apply Filters / Prompts

Each report has a defined set of columns to present. To generate a report, you must apply filters to select the data for the rows of the report in the Dashboard Prompts. In the Finance subject area, the filters are called prompts. In the Student subject areas, the term filters is used.

Dashboard Prompts

The fields where a selection is required are marked with an * and have a default value set. All other fields are optional, however most dashboards require that you set at least one additional filter to ensure that a reasonable amount of data is returned.

Select Filters / Prompts and select Apply

When you have set the filters you want, select the Apply button in the bottom right corner of the Dashboard Prompts or Filters section to generate the report. Depending on your screen resolution and the number of prompts / filters, you may need to scroll to the right to see the Apply button.

Dashboard Prompts vs Page Prompts

  • Dashboard Prompts are prompts that carry selected values to each report in the dashboard.
  • Page Prompts are specific to each reporting tab and do not exist for all reports. Detail reports have page prompts whereas summary reports do not.
  • You must select the Apply button for each section in which you change prompts.
  • In the upper left corner of the each section, there is a triangle icon that can be used to collapse the section so you can make better use of your screen space when you're finished applying filters. The icon changes shape when the section is collapsed; you can use this icon to expand the section. 

Use Filters to Limit Rows Returned

  • If your filtered query is too large it will automatically be canceled after 10 minutes. Narrow the search by selecting additional filters from the dashboard prompts and then select the Apply button.
  • In the Financial dashboards, the fields that have the greatest impact on the number of rows returned are Organization and Accounting Period. Be sure to select only the data that you need.
