Prompts

  • Be sure to uncheck the box for “-“ in the Parent Org Node Code prompt before clicking Apply.
  • Use the prompts for Parent Org Node and Union Code to select the employees you want to include.
  • To get ladder ranked faculty, select A1 – Academic Senate in the Union Code – Desc prompt.
  • If you know the Org Node Code, e.g. IBIBI, you can use the Parent Org Node Code prompt; if not, use the Parent Org Node Code – Desc prompt. If you aren’t sure of the description, click Search at the bottom of the drop-down list and use the Search dialog box to search for a string at the beginning, middle or end of the description.

Review Report Results

Click on the image to view it with the full screen. Click the Back button (←) in your browser to return.

There are columns for Employee Name, Job Code Description, and Expected End Date, but what about the email address? Business Email Address isn’t included in the report by default, but it can be added.

  1. Right-click on the column where you want to Business Email Address
  2. Select Include Column
  3. Select Business Email Address

Export Data for Further Analysis

You may wish to export the data in the report so that you can sort it or do further analysis. Below the report at the bottom of the window, there is an Export link. The most common Export selections are described here:

Data \ CSV Analysis Comma Separated Value (CSV) file that can be opened in Excel holding all of the columns in the report plus all of the columns that can be included.

To get the Business Email Address data for the employees in our unit, we could either include the Business Email Address column in the report and export to Excel, or export the data to a CSV file without adding the column since all columns are automatically included in the data export.

For Your Consideration

There are many ways to slice and dice the data in Cal Answers. Consider how you want to explore the results of your queries. Some suggest casting a wide net and filtering on few columns such as entity and time periods to limit results while retaining the ability to view and summarize by other columns. It is always possible to narrow the results in the report or in Excel if you have exported the data.
