Exercise 1: Log in and generate a report
In this exercise, you will:
- Log in to Cal Answers
- Select a dashboard and a report
- Select a prompt and run a report
- Create a Favorite for the report
Exercise
1. In your browser, go to https://calanswers.berkeley.edu/.
2. Select the link to Log in to Cal Answers.
3. To expand the Workforce Detail Dashboards section, you can select the Workforce Detail link or the + symbol.
4. Select the Workforce Detail Dashboard link.
5. Review the list of reports on the page. Note that the same report names are shown in the tabs at the top of the page. The Overview tab for every dashboard is presented in this same manner. Select the Workforce Detail wiki link just below the HR Workforce Detail Dashboard.
6. Read about how the data in the Workforce Detail dashboard is different from the data in the Position Management dashboard.
7. Select the CalAnswers BI Interactive Dashboard tab to return to Cal Answers.
8. Go to the Job Data As of Date report.
9. Notice that the As of Date defaults to the current date. If you want to run the report with data from an earlier date, you can change this.
10. In the filters section:

Remove the hyphen (-) from the Parent Org Node Code filter and select a Parent Org Node Code.

Enter a Parent Org Node Code.

Do not select Apply.

If you don’t know the code, open the drop-down list for Parent Org Node Code - Desc and select Search.

If you select an L4 Department, Cal Answers will return rows for all the Dept IDs that roll up to the Department. If you select a Dept ID, Cal Answers will return only the employees in that Dept ID.
11. From the Employee Class – Desc filter, select 9: Academic – Faculty.
12. Select the Apply button to generate the report.
13. Cal Answers generates the report and displays the first 25 rows of data. Scroll to the bottom of the report to see the total number of rows in the report and the display buttons. Select the blue double-headed arrow button to display all rows in the report.
14. You decide that you’d like to focus on tenured faculty, so return to the filters and select 101 = PROFESSIONAL-TENURE from the CTO Code – Desc filter.
15. Select the Apply button to regenerate the report.
16. View the report.
17. This is a report you’ll likely be using again and again. To make it easy to get to this report, select the Favorites menu at the top right corner of the window and select Add to Favorites.
