New Gift Accumulation Dashboard now available in Cal Answers

November 14, 2023

In collaboration with the Fund Stewardship and Compliance team in University Development and Alumni Relations we have just released the new Gift Accumulation Dashboard as part of the Finance subject area in Cal Answers.

The dashboard allows campus finance, development, and leadership to gain insights

into their available gift income and endowment payout funds from multiple perspectives in a format that facilitates the timely use of their funds. The dashboards also enable units to uncover underused, forgotten, and problematic gift funds, which may lead to funds accruing multiple years’ worth of income or endowment payout. When these funds go unspent, we call this group of funds accumulated.

The report has multiple views available, allowing both a high level and detailed view of a unit’s gift funds.

Dashboard View

As the landing page for the report, it presents multiple graphics to visually see trends and concerns in a unit’s portfolio. Within this level of the report the following insights can be found:

  • Philanthropic Cash Flow to track trends in expenditures vs revenues over the last five years

  • Aging of gift fund balances to aid in determining which types of funds are accumulating and identifying outliers

  • Fund balances by gift purposes shown proportionally to guide navigation

Detailed View

Diving deeper into the data provides a fuller accounting view of the selected gift funds. The data here is summarized monthly based on actuals, and can be combined with other month end reporting to add further detail. Within this level of the report the following insights can be found:

  • Idle gift fund balances

  • Activity levels within a gift fund, including average revenues and expenses

  • Fund restrictions are further defined, making it easier to identify unrestricted balances within gift fund purposes

  • Various fund flags and metrics for finding problematic funds

Please see the Gift Accumulation Dashboard Job Aid to learn how to access and use the new reports.
