Exercise 2: Customize Reports

In this exercise, you will work with columns to:

  • Drill down on a column that is part of a hierarchy
  • Move a column within the table
  • Move a column to become a section

Exercise

1. In this exercise, we’ll work with the Degrees by Multiple Fields report on the Degrees Earned dashboard. Assuming that you are in the Academic Plan Counts report from Exercise 1, click the Home menu above the Census dashboard.

2. Expand the Student Demographics and Outcomes dashboard group and click the Degrees Earned link.

3. Open the Degrees by Multiple Fields report. You can do this by clicking the report tab at the top of the dashboard or by clicking the report link on the Overview page.

4. Leave Degree Level as Bachelor.

5. Select College/School and Division as desired.

6. In this report, we’ll look at students who entered as Freshmen, so select New Freshmen from the Entry Status drop-down list.

7. Click Apply.

8. Notice that this report allows you to select 4 columns as you did with the Census report. In this case, it would be helpful to see the Department and Major in the report results, so change Select Field 1 and Select Field 2 to Academic Department Short Nm and Major Short Nm.

9. Since we eliminated UCB Level 1 (and Level 2) Ethnic Rollup Desc, the Short Ethnic Desc in Select Field 3 isn’t the best level of summarization for ethnicity. Change Select Field 3 to UCB Level 1 Ethnic Rollup Desc.

10. Before changing the Select Fields, we had 3 fields for ethnicity: Ucb Level 1 Ethnic Rollup Desc, Ucb Level 2 Ethnic Rollup Desc, and Short Ethnic Desc. Since we how have only the highest level (Ucb Level 1 Ethnic Rollup Desc) in our report, it displays as a link.

11. Click the link for the Ucb Level 2 Ethnic Rollup Desc heading.

12. To return to the original display of only Ucb Level 1 Ethnic Rollup Desc, scroll to the bottom left corner of the window below the report and click the Return link.

13. You decide that you’d prefer to see the data by gender and then by ethnicity. Fortunately, it is easy to move columns. With your mouse hovered over the column title Gender Desc, right-click and select Move Column from the quick menu. Then select Left.

14. While this change is an improvement, you decide that it would be more useful to have one section for each of the Ethnic Rollup Descriptions. To make this change, hover your mouse over the Ucb Level 1 Ethnic Rollup Desc column heading and right-click. Select Move Column from the quick menu and then select To Sections.

15. To return this column to the report results table, hover your mouse over the icon to the left of the ethnicity description. When you see the four-headed arrow, right-click and select Move Column from the quick menu. Then select To Rows. 

16. The column is added to the table, but it is the first column, not the last one as it was previously. Of course you can move it using the quick menu but that only moves it one column at a time. Another way to move a column is to drag and drop. Hover your mouse over the column heading until you see the four-headed arrow. Then drag the column to the right of Gender Desc and release the mouse button.

17. As you drag the column, notice the light blue shading that appears in the data table; this indicates where the column will be placed when you release the mouse button.
