If you have tried logging into Cal Answers with your CalNet ID but you cannot access it, contact the Cal Answers Help Desk at calanswers-help@berkeley.edu or by calling 664-9000 (option 1, then option 2).

Who has access to Cal Answers Financials?

Access is subject to approval by the requester's supervisor as recorded in UCPath and the Divisional Finance Leader(link is external) (DFL) for the requester's home division. Cal Answers Financials access is Global Financial Access, which includes the ability to access compensation and non-compensation data to the transaction level for all of campus.

What does access include?

Global Financial Access means that those with access will be able to see compensation and non-compensation data to the transaction level for all of campus. Global Financial Access is intended to enable users to easily review and understand their complete financial picture, as well as simplify the financial reconciliation process across campus. 

When a user's access request is approved, they are essentially approved for "all or nothing" access. There is not a version of Global Financial Access that limits a user's access to just a certain org node or department ID, or removes visibility into compensation data.

Cal Answers Financials Global access includes access to these dashboards:

  • Chartfield Lookup
  • Financial Management Reporting
  • Foundation Reporting
  • Fund Deficits Reporting
  • General Ledger Reporting
  • Gift & Endowment Reporting
  • IST Billing
  • Multi-Year Reporting

Cal Answers Financials Global access does not include access to these dashboards:

  • Campus Position Management
  • Compensation Summary
  • IST Phone Usage
  • Payroll Dashboard
  • Workforce Detail Dashboard
  • PermBudg Dashboard (coming soon)

Need access to Cal Answers Financials?

Before requesting access, please check if you have access already. After logging into Cal Answers, you know you have access if you can see a list of dashboards within the Finance accordion of the Financial Dashboards section of the home page AND see results when you run one of the reports.

Finance Dashboards

If you do not have access, you will see an error message like the following:

You can request access via the Add or Delete Finance and PI Portfolio Global Reporting form. "Add access" to "Financials", or "Both" if you want to request access to PI Portfolio as well.

Access is granted once both your manager as recorded in the HR system and the Divisional Finance Leader of your unit approve.

How do I approve access?

You can approve access for someone if you are their supervisor as recorded in UCPath or if you are a Divisional Finance Leader. You would receive an email from Service at UC Berkeley asking you to approve access after the requester has submitted their request.

Dashboards with specialized access

HR Reporting 

If you would like to request access to the HR Reporting dashboards (Campus Position Management, Compensation Summary, Workforce Detail Dashboard) because you have a business need for workforce planning, you may request it through the System Access Request Application (SARA) using these instructions.

Payroll

If you would like to request access because you have a business need to submit payroll expense transfers, you may request it through the System Access Request Application (SARA) using these instructions.

IST Phone Usage 

If you would like to request access because you have a business need to track telecom usage, you may request it through the System Access Request Application (SARA) using these instructions.

How to remove access

Automatic: Employees who leave the University

The login to Cal Answers is authenticated using CalNet. CalNet accounts are automatically locked when someone is separated from the University in the HR system. It is the responsibility of the manager/supervisor to ensure that all of the HR paperwork is completed so that systems are updated when an employee leaves the University.

Manual: Employees who transition into non-financial roles

It is the responsibility of the supervisor to ensure that access is removed for employees who continue to be employed by Berkeley but no longer have a need to see financial data.

Please request removal via the Add or Delete Finance and PI Portfolio Global Reporting form. "Delete access" to "Financials", or "Both" if you want to request removal of PI Portfolio as well.

Access is removed once both the supervisor as recorded in UCPath and the Divisional Finance Leader of your unit approve.
