Who has access Cal Answers Financials?
Access to Cal Answers Financials is automatically granted to current BAIRS users who have access to the Financial Reports module and is subject to approval by the unit Divisional Finance Leader (DFL). Cal Answers Financials access is Global Financial Access, which includes the ability to access compensation and non-compensation data to the transaction level for all of campus.
If a DFL does not approve a staff member's Cal Answers Financials access, the staff member will also be unapproved for BAIRS Financial Reports access. If you have questions about access or concerns as to how it will affect your unit, please contact the project team at firstname.lastname@example.org, and we'll work with you to ensure your team has the access they need.
What does access include?
Global Financial Access means that those with access will be able to see compensation and non-compensation data to the transaction level for all of campus. This is a change from what campus users had with the BAIRS system. Global Financial Access is intended to enable users to easily review and understand their complete financial picture, as well as simplify the financial reconciliation process across campus.
Need access to Cal Answers Financials?
The Divisional Finance Leader for your unit will approve a list of users to get access automatically.
If you need access to Cal Answers Financials but did not receive automatic access, you can request it in CalAccess. Before doing so, you can confirm whether or not you have access by checking to see if you have the "Finance_GL_Dashboard" role in the Customer Access Privileges dashboard.
Review these instructions to request access. Approval will be routed to both your manager and the Divisional Finance Leader.
The Cal Answers team is collaborating with the ServiceNow team to build a workflow for requesting access. Once this is operational, you will no longer request access in CalAccess but in ServiceNow instead.
How to remove access
Automatic: Employees who leave the University
The login to Cal Answers is authenticated using CalNet. CalNet accounts are automatically locked when someone is separated from the University in the HR system. It is the responsibility of the manager/supervisor to ensure that all of the HR paperwork is completed so that systems are updated when an employee leaves the University.
Manual: Employees who transition into non-financial roles
It is the responsibility of the manager/supervisor to ensure that access is removed for employees who continue to be employed by Berkeley but no longer have a need to see financial data.
The Cal Answers team is collaborating with the ServiceNow team to build a workflow for removing access. Once this is operational, you will no longer email your request but complete it in ServiceNow instead.
If you do not have approval for Global Financial Access then you will not be approved for the BAIRS financial reports module either.
